Leads going quiet after the first message?
Follow-up automation that answers every lead & keeps them warm.
Every lead gets a reply, a reminder and a reason to come back, sent on time by rules you approve, whether or not anyone remembers.
Your leads should be hearing from you first.
01 — Sound familiar?
- A
"I meant to call them back. Then it was Friday."
- B
"Proposals go out, then nothing. I never know whether to chase."
- C
"People book, then don't turn up, and nobody rebooks them."
- D
"Happy clients would leave a review. We just never ask."
Follow-up isn't hard. Doing it every time, for every lead, is.
So we take remembering out of it. Each moment that matters gets its message, sent on time, and the sequence stops the moment a person replies or books.
What follow-up automation is02 — What it is
What is follow-up automation?
Part of our AI automation service, and mostly it needs no AI at all.
What is follow-up automation?
Follow-up automation sends the right message at the right moment without anyone having to remember. A lead fills in a form, misses a call, books, skips an appointment or goes quiet, and a reply, reminder or check-in goes out on a schedule you approve. It stops as soon as they reply or book.
Does it need AI?
No. Most follow-up is rules and timing: when this happens, send that, then wait. Rules are predictable, cheap to run and easy to check. We add AI only where it earns its place, such as replying to a question in a text thread. That part is an AI agent.
Why it matters
A timely message changes what people do. In a randomized trial at a pediatric clinic, patients who received a text reminder missed 23.5% of appointments, against 38.1% of those who didn't. Source
03 — The follow-ups
Seven follow-ups that run on their own.
Each one is written in your messaging, and you approve it before it goes live.
01 — Reply
Instant reply
A new enquiry gets a reply straight away, with one clear next step, such as a link to book.

02 — Missed call
Missed-call text-back
A missed call gets a text within seconds, worded for the time of day, so the caller can reply or ask for a call back instead of ringing the next business.

03 — Nurture
Nurture sequences
People who say "not yet" get a short run of useful emails and texts over the following weeks, each with one next step. It ends the moment they book.

04 — Remind
Reminders
A confirmation when they book, reminders before the appointment, and an easy way to reschedule instead of a silent no-show.

05 — No-show
No-show recovery
A missed appointment triggers a kind "sorry we missed you" message and a rebooking link the same day, then one more nudge.

06 — Win back
Win-back
Past clients who have gone quiet get a check-in with a real reason to return, such as a new programme, a seasonal service or a review session.

07 — Reviews
Review requests
After a finished job or a programme milestone, clients are asked at the right moment, with a direct link. Anyone who mentions a problem is passed to you to put right.

08 — Also
And the rest of the journey
Proposal and quote chasers, payment reminders and referral requests, on the same rules: sent on time, stopped the moment someone replies.

Agent or employee?
When a text thread needs real answers, an AI agent can reply. When follow-up is one part of a whole role, such as admin, it becomes part of an AI employee.

Find
Find the gaps
We walk the path from first enquiry to review request and mark every point where a lead can go quiet. The MAGNET Test™ shows where your website is losing them.
Write
Write the messages
We write each message from your Brand Foundation, the record of your offer, your audience and your voice that we keep in TrueMagna, our AI-powered marketing system. You approve every one.
Rules
Set the rules
When each message goes, on which channel, quiet hours, who is alerted, and the stop rules: a reply, a booking or an opt-out ends the sequence.
Tune
Switch on and tune
We watch replies, bookings and opt-outs, and change the messages that aren't working.
05 — Cost

Before and after follow-up automation.
We score your website with the MAGNET Test™ before and after, and track replies, bookings, show-up rate and reviews.
Before
- A missed call goes to voicemail, and the caller rings someone else
- Follow-up depends on who remembers
- No-shows are written off
- Reviews come in by luck
- Past clients are forgotten
After
- They get a text within seconds
- Every lead gets the same follow-up, on time
- Each no-show gets a rebooking link the same day
- Every finished client is asked at the right moment
- They hear from you with a reason to come back
Imagine a business consultant who sends a proposal after a good discovery call, then hears nothing. Two days later the prospect gets a short note with the proposal and a link to book a ten-minute question call. A week later, one last check-in. If they still don't reply, they move to a monthly email with something useful, and the consultant never has to remember any of it.

What is missed-call text-back?
Missed-call text-back sends an automatic text to anyone whose call you miss, within seconds. It says sorry, asks how you can help and offers a call back or a booking link, so the caller stays with you instead of ringing the next business. The wording can change for business hours, evenings and weekends.
How many times should I follow up with a lead?
More than most businesses do, but with a plan. A good sequence sends a handful of useful messages over two to four weeks, each with one next step, then moves quiet leads to a slower monthly touch. It stops at once when they reply, book or opt out. We set the number and spacing for your sales cycle.
Will automated follow-up annoy people?
Not if every message is useful, well timed and easy to stop. We write short messages in your messaging, space them out, respect quiet hours and stop the sequence the moment someone replies or books. Everyone can opt out in one step. Most people are glad to be reminded; what annoys them is being chased with nothing new.
Is it legal to text leads automatically?
Yes, with permission. Marketing texts need the person's consent, and the rules differ by country, such as CASL in Canada and the TCPA in the United States. Every opt-out must be honoured at once. Check the rules for your area with your own adviser.
What is no-show recovery?
No-show recovery is the follow-up that starts when someone misses an appointment. Instead of writing them off, they get a kind message the same day with a link to rebook, then one more reminder if they don't. It turns a lost slot into a second chance, without anyone on your team making an awkward call.
How do automated review requests work?
When a job is finished or a client reaches a milestone, they get a short message asking how it went, with a direct link to leave a review. The timing is set to when they are happiest. If someone replies with a problem, you hear about it straight away so you can put it right.
What is a win-back campaign?
A win-back campaign is a short series of messages to past clients or leads who have gone quiet. Each one gives a real reason to return, such as a new programme, a seasonal service or a check-up, and makes the next step easy. It is often the cheapest new business you can find, because they already know you.
What is the difference between follow-up automation and an AI agent?
Follow-up automation sends messages you have approved, on a schedule, when something happens. An AI agent holds a conversation: it reads a reply, answers questions, qualifies and books. Many businesses use both, with automation for timing and an agent for the replies.
